MAKING MICROSOFT EXCEL YOUR BEST ACCOUNTING SOFTWARE

I have for most times heard people complain about Excel being very complex to use. Some say “Excel environment is too wide to understand”. But I tell you “Excel is the best accounting software ever”.  

There is this word I value so much and that word is “Your Ignorant is your Greatest Weak Point”. To break it down, this word simply means “What you don’t know can cause you your down fall”. Nigerians can simply tell you “What you don’t know, pass you”.

“Ignorant” may be the reason why you hate Microsoft Excel or why you feel Excel can’t work for you. Before you finalize in your choice of which accounting software that can work for you, you would like to let me tour you round the excel environment. I am about to review to you how you can confidently use Microsoft Excel in your office, home and school without having to ask anyone a single question (i.e, I will give you all the tips you need to start manipulating Microsoft Excel by yourself).

What is Microsoft Excel?

Microsoft Excel is an application software or package, designed by the Microsoft Corporation to handle numeric data so that it could be calculated quickly and with ease. (e.g Preparation of Tax, Payrolls, Balance Sheet, School Results etc).

Microsoft Excel is well planned; it can calculate more than 1million items at a time (Simultaneously). It provides you with different kinds of chats without you having to draw or do a thing. All you need to do is follow the principles of Excel as I will give in this post below.

Principles of Excel?

As we all know, great men are men with principles; so also is Microsoft Excel, being a great Accounting and Secretarial Software, it also has its own principles.  I will review them one after the other below:

The principles of excel are as follows:

1.    You must note that excel environment is wide and is arranged in a tabular format. (So, you are advised to treat excel like when typing in table in Microsoft Word; and also that you are allowed to begin your typing anywhere around the excel spread sheet)

2.    Note that EVERY calculation MUST begin with an Equal-to sign (=) (e.g  =1+4 and not 1+4=) or (=SUM(b2:b8)) as the case may be.

3.    Every Formula must be entered together as in one word without space(s) e.g =MIN(h2:h12) and followed by sticking the ENTER KEY on the keyboard.

4.    When calculate multiple items, you are advised to use CELL ADDRESS (CELL REFERENCE) and not the items itself. This method will allow excel to solve other items with similar formula automatically for you. (You do not understand this? don’t worry, I will explain it better below).  

5.    Always remember to add CELL BORDERS to those areas in your worksheet which you wish to print in a tabular format. (This is because those Gridlines in excels which makes excel environment look like a table does not print alongside with your work except you enable them for printing).

6.    NOTE that Excel Formulas cannot be customized. It must be applied as it should be applied. (i.e If the formula for calculating Maximum value is [MAX] and formula for calculating  Minimum is [MIN], it does not mean that the formula for calculating Average is [AVE]. The correct formula for calculating Average is [AVERAGE]. Do you now understand me? WHAT IS CELL ADDRESS?

This is an address which identifies the location of a particular cell in excel. Cell address is also called “CELL REFERENCE”
